The problem
Leads came in through more than ten channels: Facebook and Instagram forms, five website forms, Angi, Google Local Services Ads, and tracked calls and texts. Nobody saw them in one place. A review found that none of 262 recent leads had received an automatic reply. A customer who wanted a price had to wait for a call back, and nobody could say which ad dollars turned into booked jobs.
What we built
A set of connected systems the office and the owners use every day:
One lead database fed by every channel, with each lead tagged by source, market and service, an instant alert to the office, and a one-tap record of what happened next.
An email receipt to every form lead within seconds, and a text from the tracked phone line with a link to get a price.
A self-serve quote page. The customer picks the job, answers a few questions, sees a price from one pricing table, and books a visit in Jobber or asks for a call back. Every booking posts a task in Slack for the office to confirm.
Facebook and Instagram ads that send people to the quote page with their source tracked. Booked-job outcomes go back to Meta every six hours, so its targeting learns from real jobs instead of form fills.
Angi opportunities reviewed against written rules: inside the service area, the job types worth taking, set accept hours, and always accept when the homeowner asked for Parker by name.
A morning call list of quotes with no answer after seven days, a daily sweep of the shared inboxes, and a tracker that holds every stalled item with an owner and a date to check it.
A live owner dashboard that reads from Jobber and Xero: cash on hand, a four-week cash forecast, open invoices and jobs in progress. Every number shows where it came from and how fresh it is.
Results
Every form lead gets an acknowledgment within seconds. Before, none of 262 did.
The office worked 606 of 611 lead alerts in September 2026.
For the first time the owners could compare channels on cost per booked job. In the four weeks to 27 September 2026 it ranged from $202 to $1,629 depending on the channel, which showed where the next dollar should go.
The self-serve quote and booking page went live on 6 November 2026.
